Join Gates as a Preparation Centre Administrator: stay organized, support a busy team, manage stock intake, admin, and invoicing in a fast-paced workshop environment.

We are currently seeking a Preparation Centre Administrator to join the team at our Internal Preparation Centre, Stevenage.

The Preparation Centre Administrator is a vital role in ensuring the effective organisation of core processes within the business. The suitable candidate will be highly organised, effective in communicating and will assist the Prep Centre Supervisor in achieving the business objectives. You must have a strong background in administration, preferably within the motor trade. You will have the capacity to prioritise your own workload and complete all tasks set to the company standards. A fast paced and dynamic environment with a continued focus on reducing the time to market of used vehicles.

Key Responsibilities/Objectives:

  • To inspect and book in new arriving vehicles into stock.
  • To provide effective day to day workshop administration from job card to invoice. To ensure all job packs meet the manufacturer’s Warranty/R&M standard. To encompass a supportive role within general activities.
  • Be the liaison between the front desk service team, the workshop controller and warranty department.
  • Effectively prepare invoices and warranty claims to ensure error free and first-time submission.
  • Ensure WIP is monitored daily.
  • Make appointments for customers via telephone and email.

In order to be successful within the Preparation Centre Administrator position, you should have:

  • A good level of Keyloop POS competence is preferrable.
  • Excellent communication skills and the professionalism to work closely with all the team members.
  • A strong background in administration.
  • Good IT skills.
  • Maintain a high level of self-motivation.
  • Comfortable in a pressurised logistical environment.
  • A full UK driving licence is essential.
